Challenge:

Infinity had only six weeks to coordinate the pre-event logistics for a 150-person training meeting at a west coast military medical center. The event required live models for ultra sound demonstrations, and delivery and disposal of cadavers to a Bio Skills Training Center.

Solution:

Utilizing our staffing depth and established vendor connections, the Infinity team moved quickly to produce a quality informational Web site (including online registration); secure and finalize a hotel contract for the sleeping rooms; coordinate and contract with numerous organizations to provide daily group transportation from the hotel to the naval base; and arrange catering, audio visual services, note taking, printing and conference materials.

We worked closely with security at the medical center in order to process all non-military participants. Infinity facilitated speaker travel and expense reimbursements; designed and provided name badges; and assembled/shipped training materials. Infinity traveled to San Diego to provide on-site registration and logistical support services. Afterwards, Infinity conducted an online post-conference survey evaluation and produced a PowerPoint presentation final report for its client.

Results:

Despite the short lead time and unique requirements, the training event was a success. Infinity was awarded repeat contracts to coordinate future training events.
